Job Announcement – FINANCE AND ADMINISTRATION OFFICER

The American Chamber of Commerce in North Macedonia (AmCham North Macedonia) is a business community comprising 140+ members, with a diverse spectrum of businesses, from small enterprises and local companies to large foreign investors, collectively employing over 42.000 individuals and generating an annual revenue of over 9 billion $. It serves as a platform for advocacy, networking, exchange of knowledge and sharing of best practices, where business professionals dedicate their time and expertise to co-create a better business environment in the country.

AmCham North Macedonia is accredited by the U.S. Chamber of Commerce and the AmChams in Europe Network, the umbrella organization representing 49 American Chambers of Commerce (AmChams) in 47 countries throughout Europe and Eurasia.  


ROLE

AmCham North Macedonia is looking for a full time Finance and Administration Officer on an initial one-year contract, as part of its multi-disciplinary enforcement team. The Finance and Administration Officer will be working to ensure that the team operates efficiently and effectively, and within budgetary and administrative constraints. The officer’s responsibilities will include managing the financial aspects, overseeing the membership base, providing comprehensive administrative support, and ensuring compliance with relevant regulations.

RESPONSABILITIES

Administration

  • Optimize Digital Office Management – Oversee the digital office environment, ensuring all systems and suppliers are operating efficiently.
  • Maintain Up-to-Date Databases – Regularly update and maintain all relevant databases, ensuring data integrity and accessibility.
  • Assure Web Presence – Manage regular upload of content to the website, ensuring it is current and relevant.
  • Efficiently Schedule and Coordinate Chamber activities- Schedule meetings and follow up on related activities, ensuring timely completion and communication internally and externally

Financial Activities

  • Ensure Timely Invoicing and Payments – Process invoices and bank payments promptly to maintain positive cash flow and vendor relations, assuring at the same time timely dues collection.
  • Deliver Accurate Financial Reporting – Prepare monthly financial statements and quarterly financial reports to inform strategic decision-making.
  • Collaborate for Compliance – Work closely with external accounting firms and auditors to ensure compliance and accuracy in financial reporting.

Membership Relations

  • Enhance Membership Database Management – Ensure accuracy in the Membership Database and up-to-date records in the membership database and individual membership files.
  • Follow Membership Engagement – Deliver regular membership reports, streamline new membership applications, and efficiently handle cancellations.
  • Coordinate Events – Coordinate General Assembly meetings and membership networking events with a focus on member engagement and satisfaction.

REQUIREMENTS

  • At least 3 years of professional experience (preferably non-profit or membership organization)
  • Advanced English proficiency
  • Digital skills – MS Office Tools, use of web-based systems
  • University education
  • General understanding of business environment
  • Experience in working with diverse stakeholders
  • Experience in managing financial operations and administrative functions effectively
  • Excellent communication skills, including writing, listening and personal presence
  • Strong interpersonal skills with the ability to build trusting relationships
  • Excellent organizational skills, time management, ability to multitask and prioritize
